Enhancing Transactional Data Reporting: GSA’s December Updates and What’s Ahead

As we wrap up 2024, we're excited to share key milestones, upcoming initiatives, and actionable insights to help our partners leverage the TDR program for mutual success. Here’s what you need to know about our journey this year and the road ahead.
2024 Milestones: Advancing Data Quality and Usability
Throughout 2024, GSA has made significant strides in improving the quality and usability of transactional data across GSA. Here’s a quick recap of this year’s major achievements:
July: Updated the Sales Reporting Portal (SRP) to enhance functionality and user experience.
August: Expanded TDR eligibility to 67 additional Non-Configurable Product SINs, broadening opportunities for participation.
November: Released SRP template V3.0, complete with dedicated MAS and GWAC-MAS reporting tabs for streamlined submissions.
GSA’s commitment to collecting and utilizing transactional data remains steadfast. By understanding what the government buys, the prices paid, and the timing of purchases, GSA is strengthening the supply chain for in-demand products and empowering federal partners to make informed purchasing decisions. This data also guides vendors in tailoring your offerings to better meet federal needs.
New Data Validations Starting January 2025
Beginning in January 2025, GSA is introducing a new layer of data validation to ensure higher accuracy and consistency in transactional data submissions. This includes cross-checking certain fields in the SRP upload template—such as product name, UPC code, and manufacturer name—against your awarded catalog.
Here’s what to expect:
Soft Flag Errors: If discrepancies are detected, you’ll receive a system-generated error message and a detailed email highlighting the issue and suggesting fixes. A Soft Flag does not automatically reject your sales report but prompts you to address the mismatch before your next submission.
Steps to Prevent or Resolve Errors
To ensure a smooth submission process, follow these steps:
Use the Current SRP Template: Ensure you’re using SRP template V3.0, available on the SRP landing page. Submissions using outdated templates will be rejected.
Address Errors Promptly: If you receive an error, follow the suggested fix provided in the email with the subject line: “TDR Non-Compliant Submission Data for Contract XXX.” The email outlines the problematic field, flagged entries, and a recommended correction.
Reporting Services? Verify that your SIN allows for service reporting. Errors may occur if services are reported under incorrect SINs.
Remove Unnecessary Data: If you encounter errors in the Manufacturer Name, Manufacturer Part Number, or UPC fields for services, clear these fields. Avoid using placeholder data like “N/A,” which can trigger errors.
